The Role:
Evisort is seeking a highly trusted Executive Assistant (EA) to support the daily activities of GTM Executives. This role requires a person who is a master problem-solver and is looking to assist our Executives in all facets of their office. The EA will coordinate the leaders full calendar, work closely with leaders to oversee all internal departments and ongoing projects, and complete any work applicable to Evisort’s customers and other stakeholders externally. The ideal candidate will have excellent communication skills and sharp attention to detail, be proactive in forecasting schedules effectively and reasonably, and act as a liaison between the leaders and their direct reports.

What You’ll Do:

  • Main duty is to coordinate all internal and external meetings, dining reservations, travel arrangements, and some personal requests (i.e. doctor’s appointments)
  • Calendar: being able to control and maintain intense calendars and travel plans, securing all ground and air travel, booking hotels, drafting daily itineraries, and other additional travel tasks as needed
  • Uphold the highest level of confidentiality and serve as a liaison between the Executives and all other parties
  • Understand the urgency of requests from the Executives and resolve scheduling conflicts, especially when time-sensitive
  • Take action with the utmost professionalism when representing the Executive and/or Evisort
  • Think critically and quickly in prioritizing multiple simultaneous assignments
  • Build cross-functional relationships with all leaders of internal departments and collaborate with them accordingly
  • Great communication both verbally and in writing, with a positive attitude in close coordination with the team members, provide critical support to the Engineering and Product Leadership teams.
  • Meetings: Contribute and support the greater EA crew during offsites by assisting with the production of materials and pre-reads, taking notes, and tracking action items or as needed
  • Communications: Triage inboxes and help prioritize responses, ensuring fast response time to customers, employees, investors, and other key stakeholders or as requested by the Leader
  • Budget and expense management
  • Events: Event planning, including assisting with small and large department celebrations, team off-sites, internal events, meetings, after-hours events
  • Maintain and facilitate partnerships with other Administrative members and teams
  • Be a cultural ambassador and liaison for the Executive, maintaining a strong pulse on life and relationships inside and outside of Evisort
  • Help us scale growth, service, and the Evisort community as effectively and efficiently as possible, in a way we are proud of where everyone feels safe, welcome, and valued

Skills/Qualifications:

  • 4+ years of experience providing administrative support for one or more senior executive(s), ideally in a fast-paced start-up environment
  • Outstanding organizational skills: Incredibly organized and detail-oriented, able to prioritize multiple assignments, strong scheduling, and travel coordination skills
  • Excellent communication skills: Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Coordinate all internal and external meetings, dining reservations, travel arrangements, and some personal requests (i.e. doctor’s appointments)
  • Uphold the highest level of confidentiality and serve as a liaison between all other parties
  • Understand the urgency of requests from leaders and resolve scheduling conflicts, especially when time-sensitive

  • Adept in Microsoft Office, Google Suite, Slack,

  • Positive attitude and team player who stays calm under pressure: Especially when faced with changing responsibilities and competing priorities.
