We are looking for a Dispute Collections Manager to help us reach our goals!
As the Dispute Collections Manager, you will lead Vividly’s Dispute Collections Services (DCS) team in the Philippines, ensuring disputes are validated, filed, and collected accurately and on time. This is a hands-on leadership role where you’ll oversee the full dispute workflow, mentor and develop your team, implement strategies to improve efficiency, and serve as the primary escalation point for client-facing dispute issues.
You’ll be responsible for team performance, client satisfaction, and ongoing process improvement. Working closely with HR and Talent, you’ll help recruit and onboard new team members, monitor performance, and resolve bottlenecks to keep the team scalable and effective. You’ll also partner with our product team to shape the future of the disputes platform.
Your ability to lead a high-performing team, resolve escalations, and strengthen client relationships will directly support Vividly’s mission to transform trade promotion management for CPG brands. By proactively addressing client challenges and driving operational excellence, you’ll play a key role in maintaining a no-churn environment.
The key responsibilities & impact this role will have:
- Manage, mentor, and develop a team of trade deduction resolution specialists, ensuring they meet performance targets and deadlines.
- Oversee the submission of disputes to Vividly’s Dispute Application and pursue collections with minimal disruption to client workflows.
- Act as the escalation point for client questions and operational issues, addressing them promptly and professionally.
- Work closely with product and engineering to improve the disputes platform and tools.
- Build and maintain tracking systems to monitor timeliness, accuracy, and aging of disputes, reporting regularly to senior leadership.
- Collaborate with reconciliation and backup teams to ensure end-to-end workflows are seamless and aligned.
- Identify bottlenecks and opportunities for improvement in the dispute resolution process, recommending and implementing changes.
- Partner with HR and leadership to recruit, onboard, and train new team members when needed.
- Contribute to ad hoc analyses, reporting, and broader operational initiatives.
- Foster a culture of accountability, collaboration, and continuous improvement across the team.
You will be successful with:
- At least 5 years of management experience, including leading and developing teams.
- At least 3 years of direct experience in dispute collections, with a solid understanding of deduction resolution processes.
- Deduction and dispute collections expertise in the context of trade promotion management is required.
- Proven experience working with TPM software and CPG industry workflows
- SaaS startup experience is a plus.
- Strong operational mindset with the ability to monitor metrics, audit processes, and drive efficiency.
- Experience working cross-functionally and building trust with both internal teams and clients.
- Excellent oral and written communication skills, with the ability to explain complex issues clearly.
- A hands-on leadership style: willing to roll up your sleeves and model high standards for your team.
- Familiarity with SaaS tools, including G-Suite, Excel, and project management software.
- Comfort working in a fast-changing environment, with the flexibility to adapt and improve as the business evolves.
